Scope
Nine data workflows between SAP ERP and the warehouse

Technologies

  • SAP ERP
  • SCExpert WMS
  • ABAP

The Challenge

The company runs its finance and sales in SAP ERP, while the physical work — receiving, picking, shipping and returns — happens in the SCExpert warehouse management system. Every sales, purchase, transfer and return order has to exist in both systems and stay consistent.

Without a reliable link, orders could be changed in the office while the warehouse was already processing them, stock differences surfaced late, and returned parcels had to be matched and entered in SAP by hand.

Solution Architecture

The integration architecture is designed around nine distinct data workflows, managed by a dedicated Service Provider Layer. This ensures a clear separation of duties between data sent to the warehouse (SAP Providers) and operational facts returning to the ERP (SVS Providers).

Key Components

  • SAP Providers (Data to WMS)
  • SVS Providers (Data to ERP)
  • Service Provider Layer
  • Data Integrity Locking
1

Master Data & Order Synchronization (SAP to WMS)

Material Master Data

Automated detection of product changes and transmission of SKU definitions to the warehouse, with monitoring to verify registration.

Order Management

Routing of sales, stock transfer, purchase, and return orders, classified by type to trigger correct logistics processes.

Transaction Locking Mechanism

Critical Data Integrity Locking prevents office staff from modifying orders while they are being processed in the warehouse, eliminating conflicts.

2

Confirmation & Fulfillment Updates (WMS to SAP)

Once warehouse tasks are executed, the WMS feeds factual data back into SAP to finalize transactions.

  • Order Confirmation: Signals completion of picking or receiving for various scenarios.
  • Automated Transaction Release: Triggers an Unlock Process immediately after confirmation, releasing records for invoicing.
3

Advanced Inventory Control & Automation

Logistics Automation

Real-Time Precision

Discrepancies found during operations are instantly communicated to SAP via a "Stock Change" service.

Real-Time Adjustments

Instant updates for damages or shrinkage to keep asset values current.

Inventory Snapshots

Digital pictures of all stock at specific moments for periodic reconciliation.

4

Automated Returns Logistics

Streamlining complex reverse logistics with specialized services.

Parcel Validation

Cross-references external Parcel IDs against internal Sales Documents.

Auto Return Creation

Generating Return Sales Orders in SAP by simply scanning a parcel label.

Key Results

Data Integrity

Eliminated errors caused by simultaneous editing of orders through Lock/Unlock logic.

Operational Efficiency

Reduced administrative time for returns processing by automating order creation from scans.

Scalability

Modular provider design allows easy expansion of transaction types without disrupting existing flows.
